Access Request list new Workflow

We are trying to do some initial testing on the Access Request list in SharePoint Designer and create custom workflows.

I can create and publish the workflow, but when I go back into SharePoint Designer and look at the access requests list, there are now workflows associated to it.  Also, via the browser context menu when editing an item, there are now workflows to tie to the list.

Any ideas?  Is the Access Request list just tightened down too much to allow workflows on it?

Hi,

I'd confirm with you firstly whether you are using SharePoint 2013, since I cannot locate Access Request List when create a new workflow in Designer. Please provide detail description about creating workflow.

However, I can access the List settings page for Access Request List by ListID, such as:

http://sp:60/sites/first/_layouts/15/ListEdit.aspx?List=eba952e1-b82d-476c-8c02-feacd6d23c65

Then I can check workflow settings there. In addition, there are two types, This List and Access Requests, they can be associated with different workflows.

Yes, SharePoint Designer 2013 is what we are using.

See below from within SharePoint Designer where we can pick the list from "List Workflow" in SharePoint Designer ribbon:

Access Requsts list workflow.

Interesting though when we use the URL to hit the list settings as you've suggested:

http://mysite.com/_layouts/15/ListEdit.aspx?List=2***-D632-4D0D-979A-*****

  • Click Workflow Settings
  • From top dropdown list "Show workflow associations of this type:"
  • Select "This List"
  • Click bottom "Add a workflow" link
  • I can now see my workflows

Will test further and report back...thank you

...and, every time I try to associate the workflow, I get an error message:

"Sorry...something went wrong.

An unexpected error occurred"

Looks like it's on to the even logs to see what's happening.

Hi,

Could you please locate more relevant error information in ULS log which can be help troubleshooting?

Is this Access Request list OOB or custom list?

Even I add a workflow in Workflow Settings in List Settings, the workflow will not be triggered automatically since Access Request is created by System Account.

If I want to trigger the workflow manually, I cannot find the Workflow button in Item drop-down menu.

This is an OOB Access Request List.

It's the list you would hit via Site Settings >> Access Requests and Invitations:

http://www.mySharePointSite/Access%20Requests/pendingreq.aspx

Are you able to create a workflow that can be fired manually via the context menu?

Hi,

By default, there is no Context Menu of items and we cannot access the Edit item form.

If you can access the List settings page, create a new view based on Standard View, it will appear as follow:

 

Once you click the View Entries, you can access the Edit form, then there is Workflow ribbon for you to start a new workflow.

Hi!

We've created views off this list to allow users to delete entries...and not be forced into "Approve" or "Reject" options.  By way of this new view, you can get the context menu flyout via the edit column/ellipses as noted below:

It would be better to get Context Menu, so could you manually start workflow via Workflows button?
